How AI Fit Finder uses AI

How this tool uses AI

The map produced by the tool is based on fixed rules, not AI. The user can view the answers behind every rating and change any answer by giving a reason. AI cannot set or change a rating.

What AI does

AI has limited roles while using the tool, with one additional role only if Kara’s review is requested.

  • Ask follow-up questions: After the user describes a workflow, AI may select up to two short questions from a fixed list. The user may skip any follow-up question.

  • Summarize workflows: AI writes a two-sentence summary of each workflow using the user’s answers. The user can approve the summary or edit it.

  • Write example text for pilot briefs: Code builds each pilot brief from the user’s answers. AI writes short example text, clearly labeled: “Example: replace with your own.”

  • Write the report summary: AI writes three paragraphs based on the labels in the final result. It does not see what the user typed.

  • Prepare a first draft for Kara’s review: This happens only if the user asks Kara to review. AI prepares the first draft of a plan using the full map. Kara then reads it, edits it, and sends the final plan herself.

What AI can see

For most tasks, AI sees the answers and text for one workflow at a time. If a user requests Kara’s review, AI sees the user’s full map to prepare the first draft of the plan.

Before information is sent to AI, the tool removes:

  • Email addresses

  • Phone numbers

  • Links with tracking codes

Names the user types are not removed, so job titles or roles are recommended instead of using people’s names when possible. The user’s email address is never sent to AI.

Which AI is used

The tool uses Claude Sonnet 5.5 from Anthropic through Anthropic’s API. Anthropic says it does not use API data to train its models and deletes API data within 30 days, except in limited cases described in its policy.

What AI does not do

AI does not:

  • Recommend specific tools or vendors

  • Estimate cost savings

  • Judge the user’s team or advise on staffing

  • Decide whether an AI use, claim, or disclosure is allowed

If AI is unavailable

The user will still receive a complete map.

If an AI feature is turned off or fails:

  • The user will not receive follow-up questions

  • Workflow summaries will be written directly from the user’s answers

  • Pilot briefs will show “To fill in” where example text would normally appear

The ratings, priorities, and recommendations remain unchanged because they are based on fixed rules.

How AI is checked

Every AI update is tested against a fixed set of test cases before it goes live. Results are reviewed every week.
